The Cost of a No-Show: Measure Revenue Lost After the Booking

If reporting stops at “booked”, a business can overestimate how well acquisition is working.

If reporting stops at “booked”, a business can overestimate how well acquisition is working.

Why bookings can overstate performance

A campaign may create many bookings while the calendar still loses revenue through late cancellations and no-shows. That gap is invisible if the funnel ends at booking.

Calculate the operational loss

For each missed visit, record the service, expected value, how late the cancellation happened and whether the slot was refilled.

Separate reschedules from lost clients

A client who moves the appointment is not the same as a client who disappears. Treating both as cancellations hides the real retention opportunity.

Use the data to change the process

If missed visits cluster around certain services, lead times or appointment windows, adjust confirmation and rescheduling rules around those patterns.

What to do next

Add “visited” as a required funnel status. It is the simplest way to stop confusing a calendar reservation with delivered revenue.
