The problem is usually not the number of channels. It is the absence of one status system behind them.
Why multi-channel inquiries become messy
A client may discover the business on Instagram, ask a question in WhatsApp and later submit a website form. If each channel is treated as a separate inbox, the team loses context and can duplicate or miss follow-up.
Create one customer status
Every inquiry needs one current status: new, contacted, in dialogue, booked, visited, cancelled or follow-up. The channel is an attribute of the inquiry, not the process itself.
Keep the next action visible
For every open conversation, record the next action and who owns it. A lead without a next action is effectively waiting to be lost.
What management should see
The owner should be able to see how many inquiries are open, how many became bookings, how many visited and where conversations are currently stuck.
What to do next
Connect channels at the process level. You do not need one inbox immediately, but you do need one definition of status and one place to see the next action.
